The Ohio Access to Justice Foundation (“Foundation”) is a statewide, nonprofit organization that improves fairness and access to justice for all Ohioans. Established in 1994 as the Ohio Legal Assistance Foundation, the Foundation funds civil legal aid societies, resources, programs, and other services to address the unmet civil legal needs of low-income and underserved Ohioans. Through the Foundation’s work, Ohioans have access to legal help, advice, and representation, which ensures fairness for all in the justice system.
The Executive Assistant serves the Foundation’s executives (Executive Director and Chief Operating Officer) and the Board of Trustees. The Executive Assistant exercises independent discretion to conduct routine and complex administrative duties to ensure that the office runs effectively and efficiently. This includes office vendor and supply management and ensuring excellent communication with members of the board and government. The Executive Assistant also works to conserve executives’ time by maintaining appointment schedules, answering calls, drafting, and editing correspondences, managing contacts in CRM database, conducting research, preparing board and executive meeting materials, and performing other administrative tasks as requested. The Executive Assistant manages privileged and confidential information about the Foundation, its staff, and grantees. This position reports to the Executive Director.
Major Job Duties
Serve as Executive Director’s administrative liaison to the Board of Trustees and manage Board activities,
o Coordinate Board meetings
o Assemble and distribute Board meeting materials
o Attend record and keep historical records of meetings and other Board related information
o Assist with Board Committee meetings as needed
Conserve executives’ time through exercising excellent judgment and discretion in handling the following
o Manage calendars for Executive Director and Chief Operating Officers by planning and scheduling
meetings, conferences, and travel
o Research and analyze information to prepare correspondences, reports, and board materials
o Open, sort, and distribute incoming faxes, emails, and other correspondence
o Route calls, take messages, and follow up with communications as appropriate
o Other administrative duties, to include data entry in Salesforce (CRM), notetaking, and filing
Conduct routine and complex administrative duties to ensure the office functions effectively:
o Office vendor and supply management, in consultation with the management team
o Answer phone calls, route mail, and welcome visitors
o Manage relationships with donors, community partners and others, including but not limited to, the
work study relationship with Ohio State University
Complete other duties necessary to aid the executives, the board, and the Foundation’s operations
● Excellent diplomacy and communications skills (oral and written); ability to interface professionally and
effectively with Foundation executives, board, government leaders and stakeholders
● Commitment to equal access to justice and advocacy for low-income persons
● Self-motivated, highly organized, and able to anticipate needs
● Strong attention to detail and accuracy
● Ability to manage time, multi-task, and prioritize work to meet deadlines in a fast-paced, quickly
● Experience managing projects, monitoring progress across teams, and preparing status reports
● Proactive and strategic approach to problem-solving; able to make sound decisions with little oversight
● Excellent discretion, professionalism, and tact; able to maintain strict confidence
● Proven administrative experience working for executives, law partners, or other high-level professionals
● Demonstrated ability to work as a member of a team
Bachelor’s degree and 5+ years experience in an Administrative Assistant position working with senior
If no degree, at least 10 years of Administrative/Executive Assistant experience.
Experience managing multiple calendars
Command of entire MS Office Suite, to include Word, Excel, PowerPoint, and Outlook; Salesforce
competency a plus
